Create a gear list from a diagram
Hands-on: roll diagram devices into a Pro gear list from Export or the dashboard Gear List tab.
When to use this
Use when you need a pack list or procurement breakdown pulled from the same devices on your signal-flow diagram — quotes, truck pack, or client approval.
Pro required
Creating and editing gear lists requires Pro. Free users see Send to gear list in Export with a Pro badge — upgrade or start a trial to create lists.
Prepare the diagram
- Open a saved diagram with devices placed and named (double-click headers for aliases — CAM-1, CONSOLE, etc.)
- Save with Update Project before sending to a gear list
Send from Diagram Builder
- Header → Export → Send to gear list
- Confirm Create gear list from this diagram — collects devices, cables, and related gear from this diagram
- Click Create gear list
Tip: Gear lists read from diagrams, racks, and LED walls — they do not store gear themselves; they roll up project data into one editable breakdown.
Or create from dashboard
- /diagrams → Gear List tab
- Create gear list — name the list (e.g. Main stage AV gear list)
- Edit the list and add diagrams, LED walls, and racks to include in the rollup
- Select a list in the sidebar to view line items, cables, and pricing columns
Review and export
- Open the gear list — verify device quantities match the diagram
- Add manual line items for gear not on the diagram (cases, consumables)
- Export from the gear list view or include in a tech pack PDF when available
Best practices
- Re-send or refresh after diagram rev bumps — stale lists cause wrong case prep
- Name instances on the diagram before sending — rollup uses canvas aliases and template names
- Include linked rack and wall projects in one gear list for a full-show breakdown
Common issues
- Send to gear list shows Pro crown — upgrade on Billing
- Empty line items — diagram has no placed devices, or list has no projects selected
- Counts do not match — duplicate device instances vs template names; review Connections for cable rows separately
